How Often Should Collection Documentation Be Updated?

Update a record whenever a material event occurs and conduct a planned review at least annually for active collections. Higher-change information—location, insurance, condition, loans, and contacts—may need more frequent attention.

Why this question is harder than it looks

Freshness is event-driven as well as calendar-driven. A record is most valuable immediately after acquisition, movement, damage, treatment, framing, appraisal, insurance change, loan, or ownership transfer.

A practical way to decide

  • Complete the acquisition record before packaging and emails scatter.
  • Update location and photographs after every move or installation.
  • Add condition and treatment records without overwriting the earlier state.
  • Review insurance and appraisal requirements on their own schedules.
  • Test backups and successor access during the annual review.

A review date does not certify accuracy. Record who checked what and leave unresolved uncertainty visible.
